JOB SUMMARY
In the role of Union Reporting and Benefits Administrator, you will own the end-to-end union reporting process and support the administration of employee benefits programs. You will ensure all union-related reports and remittances are accurate, compliant, and submitted on time, while also maintaining the integrity of benefits data, enrollments, and vendor coordination.
This role serves as a key partner to HR, Payroll, and Finance, acting as a centralized point of coordination for union reporting, benefits administration, audits, and process improvements. You will play a critical role in ensuring compliance, resolving discrepancies, and driving operational efficiency across both union and benefits functions.

JOB SUMMARY
In the role of Union Reporting and Benefits Administrator, you will own the end-to-end union reporting process and support the administration of employee benefits programs. You will ensure all union-related reports and remittances are accurate, compliant, and submitted on time, while also maintaining the integrity of benefits data, enrollments, and vendor coordination.
This role serves as a key partner to HR, Payroll, and Finance, acting as a centralized point of coordination for union reporting, benefits administration, audits, and process improvements. You will play a critical role in ensuring compliance, resolving discrepancies, and driving operational efficiency across both union and benefits functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Compile, validate, and reconcile monthly union reporting data, including hours, wages, and benefits.
- Prepare and submit accurate and timely reports to all applicable union agencies and funds.
- Ensure accurate reporting of hours for all applicable employees, including those on Alumni Agreements.
- Coordinate and initiate remittance payments (check requests) with Finance to ensure alignment with reporting timelines.
- Ensure union vacation reports are completed and submitted prior to applicable deadlines (e.g. Vacation Fund fiscal year-end).
- Serve as primary owner for union audits, including preparing documentation, responding to auditor inquiries, and coordinating with internal stakeholders.
- Act as a point of contact for unions and internal stakeholders to resolve reporting discrepancies and inquiries.
- Monitor and communicate local union rate and benefit changes to ensure accurate system updates.
- Administer day-to-day employee benefits programs, including enrollments, changes, and terminations in accordance with plan rules and timelines.
- Maintain accurate benefits data within HRIS and ensure alignment with payroll deductions and reporting.
- Partner with Payroll to validate benefits deductions and resolve discrepancies.
- Support open enrollment processes, including system updates, employee communications, and issue resolution.
- Coordinate with external benefits vendors and brokers to address escalations, eligibility issues, and plan administration needs.
- Assist with benefits-related compliance requirements, including documentation, reporting, and audit support.
- Respond to employee inquiries related to benefits in a timely and professional manner.
- Collaborate with HR, Payroll, Finance, and external partners to streamline union reporting and benefits administration processes.
- Identify and implement process improvements to enhance data accuracy, compliance, and operational efficiency.
- Support documentation of standard operating procedures (SOPs) for union reporting and benefits workflows.
- Ensure data integrity across systems (HRIS, Payroll, and reporting tools) and proactively address inconsistencies.
- Perform other duties as assigned to support departmental and organizational objectives.

- Occasional lifting or carrying of training materials, files, or office supplies (up to 30 lbs).
